The challenges of managing paper parish registers

Sometimes it is difficult to trace the stages of a believer's religious life if he cannot find the relevant documents and no longer knows when he received certain sacraments.

The situation can become critical for deceased believers whose funeral is being prepared but their relatives cannot find certain documents such as the baptism certificate. Access to these documents can be made even more difficult if the believer received the relevant sacraments abroad.

In such situations, research in the paper church registers is necessary. However, this can be a lengthy process.

Paper church records pose particular challenges for parish offices

  • The effects of the years and storage conditions can greatly reduce readability.
  • Lengthy searches for believers.
  • Believers who no longer live in their baptismal parish have to travel there or someone has to travel there for them in order to obtain a copy of a document (e.g. baptism certificate, etc.). This results in travel time and travel costs.
  • Cumbersome notification of marriage to the baptismal parish offices of the bride and groom if they were married in another parish. This is even more cumbersome if the baptismal and wedding parishes are in different countries.
  • Time-consuming control by the bishop to ensure that the records are kept properly.
  • Cumbersome procedure for applications for exemption from publication of the marriage and for applications for mixed marriages.
  • Manual creation of statistics.
